Introducing Labfy: software for test centres

On 8 March 2021 Germany introduced the Bürgertest: every resident is entitled to at least one free rapid antigen test per week, paid for by the federal government. Pharmacies, medical practices, private operators and even former nightclubs have been converted into test centres in the space of three weeks.

The result is a new kind of business that did not exist a month ago and has to run like a clinic from day one. Most of them are trying to do it with spreadsheets, paper forms and a WhatsApp group.

This post is about why that breaks, and about the product we built to fix it.

What a COVID-19 test centre actually has to do

From the outside it looks simple: swab, wait fifteen minutes, hand over a result. From the inside it is a regulated data pipeline:

• Appointment booking to control crowding and infection risk on site
• Identity registration with name, address, date of birth and contact details for every person tested
• Consent and data protection compliant with the GDPR, for medical data
• Test execution tracking — which kit, which batch, which staff member, which time
• Result delivery to the person tested, fast and in a form that is accepted as proof
• Reporting to the health authority, the Gesundheitsamt, for every positive result
• Billing to the Kassenärztliche Vereinigung for reimbursement, with audit-proof records

Miss a step and you are either breaking the law, losing money, or sending a positive person back onto the street without a valid certificate.

Why spreadsheets and paper fail

Paper forms need manual transcription, which means typos in the very data the health authority relies on. Spreadsheets have no access control, no audit trail and no way to send a result to a phone. WhatsApp is not a medical records system.

Beyond compliance, there is a human cost: queues. A test centre processing several hundred people a day with manual registration spends more time typing than swabbing.

Introducing Labfy

Labfy is Daleenda's software for managing COVID-19 test centres. We built it as a SaaS platform, hosted in Germany, so a new operator can be live within a day rather than commissioning a custom system.

What it covers:

Online booking. A branded booking page where citizens pick a time slot. Capacity limits per slot keep waiting rooms empty.

Pre-registration. People enter their details once, online, before they arrive. On site, staff scan a QR code and the record is open. No retyping, no queue.

On-site workflow. Staff record the swab, the kit batch and the time. A timer tells them when each test is ready to read.

Instant results. The person tested receives their result by email and SMS, with a PDF certificate that carries a verification code. Negative results arrive in minutes; positive results trigger the next step automatically.

Health authority reporting. Positive cases are flagged and the data required by the Gesundheitsamt is ready for export in the format they accept.

Billing exports. Daily and monthly reports in the structure needed for reimbursement, so the operator gets paid without an accountant rebuilding the numbers.

Multi-site management. Operators running several locations see everything in one dashboard with per-site staff accounts.

Built for the regulations, not around them

Labfy was designed from the start around German data-protection requirements for health data: encrypted storage, role-based access, deletion rules for personal data once retention periods expire, and an audit log for every change. That is not a feature we added later; it is the foundation.

Who it is for

Pharmacies, medical practices, private test-centre operators, companies running employee testing, and municipalities coordinating public sites.

We launched Labfy to our first pilot customers earlier this month. Next, we are working on the integration that will matter most for the coming months: delivering rapid-test results straight into the Corona-Warn-App.
